For gala committees and fundraising teams
Galas & fundraisers
A gala runs on sponsorship — sponsored tables, honoured guests, a live auction and a program that has to land on time. BlueBox keeps the sponsored table list organised beforehand and gives every guest a self-serve way to find their seat the moment they arrive, instead of a seating board slowing down a red-carpet entrance.
Sponsored tables
Keep every sponsor's
guest list together.
Sponsors expect their invitees seated together, and a fundraiser's honoured guests often need a table near the stage. Each guest is assigned a table and, where it matters, a specific seat, and the tables and seating view shows a running count per table as sponsor lists are finalised. For the mechanics of assigning guests to tables, see digital seating charts.
Guest lists can be imported in one pass or added as sponsor confirmations arrive, with likely duplicates flagged before they're added — useful when a guest is nominated by more than one sponsor.

On arrival
A red-carpet entrance,
not a queue at a seating chart.
Guests search their own name — on their phone after scanning the event QR code, or at a BlueBox display near check-in — and their table appears instantly, with typo-tolerant search and extra detail if two guests share a name. As guests check in, live arrival counts let your team see the room filling without walking the floor. A rented display at the entrance can carry this experience for the night; see interactive event displays.
Keeping the program on track
The auction, the ask,
and the timeline guests can see.
A published program timeline with a "now" marker helps guests follow a gala's structured evening — cocktail hour, dinner, the ask, the live auction — without a printed run-of-show at each seat. Announcements published during the event reach guests immediately, useful for extending the auction close or moving the after-party.
Frequently asked questions
Can BlueBox handle sponsored tables at a gala?
Yes. Each sponsored table can hold its own guest list, so a sponsor's invitees are assigned and seated together, and the tables view shows how full each sponsored table is while you plan.
How do guests find their seat at a fundraiser without a printed board?
Guests search their own name from their phone after scanning the event QR code, or at a BlueBox display near the entrance, and their table appears instantly instead of a name being found on a printed list.
Can we track donor or VIP arrivals separately?
Live arrival counts update as guests check in, whether self-service, staff-assisted, or through a BlueBox display, giving your team a real-time view of who's in the room.
Can we announce the live auction or program changes during the event?
Yes, announcements can be published during the event and reach every guest through the guest hub, and the program timeline shows a live marker for what's happening now.
Can seating be adjusted the night before a gala?
Yes. Table and seat assignments can be changed at any point before the event goes live, so a late sponsor confirmation or a declined RSVP doesn't require reprinting anything.
