Bluebox

For teams who run events for a living

BlueBox for event planners

Whether you plan weddings and galas, manage a venue's event calendar, produce live shows, or run corporate events internally, the work at the door is the same: get every guest checked in, seated and informed without a bottleneck. BlueBox gives you one workspace to prepare that experience and watch it run live.

Who this is for

Built for the people
running the event, not just attending it.

Event planners

Move between clients and events without losing track of a guest list. Each event holds its own guests, tables and design, ready to hand back to a client for review.

Venues

Offer a cleaner arrival than a printed seating board in your foyer, whether that's your own screen running the display experience or a rented BlueBox unit for the night.

Event producers

Get the arrival and information layer of a show or ceremony ready ahead of doors, then monitor check-in and readiness live as the audience arrives.

Corporate event teams

Run internal conferences, dinners and staff events with the same guest list, table assignment and check-in tools, plus announcements you can send mid-event.

One workspace per event

Guests, seating and design,
prepared ahead of time.

Each event starts the same way: add or import the guest list, assign tables and seats, and set up the design — colours, welcome message and branding — with a live phone and display preview as you go. Program items, menu, event information and announcements are published from the same place, so nothing lives in a separate document you have to keep in sync.

When you're ready, the go-live screen produces the guest QR code, guest link and display link you'll use on the day — for a single wedding, a venue's weekly event, or a producer's touring show.

On the day

Watch arrivals,
not a printed sign-in sheet.

As guests check in themselves, at a BlueBox display, or with staff assistance, arrival counts and event readiness update live in the organizer app. That gives your team — or a venue's floor staff, or a producer's stage manager — a real-time view of the room instead of a static list, plus the ability to send an announcement the moment plans change.

If you are weighing up how a BlueBox event runs end to end, the how it works walkthrough covers the same tools step by step.

Frequently asked questions

Can I run more than one event as an event planner?

Yes. Each event you create — a wedding, a gala, a corporate dinner — has its own guest list, seating, design and go-live screen, so you can plan several events side by side.

Can a venue offer BlueBox as part of its own events?

Yes. A venue can use BlueBox for its own events, or point clients to it, with the display experience running on a venue screen or a rented BlueBox unit at the entrance.

Do you support corporate event teams running internal events?

Yes. Corporate teams use the same guest list, table assignment, check-in and announcement tools for conferences, dinners and staff events as any other organizer.

Can producers manage guest arrival across a live show or ceremony?

Yes. Producers can use check-in, arrival counts and readiness indicators to know where a guest list stands before doors open, alongside the program and announcement tools during the event.

Is there a way to rent physical displays for multiple events?

Yes, within the areas BlueBox currently serves. Each rental includes delivery, setup and pickup, with availability checked before booking.
